# ZYNTEIRO TECHNOLOGY SDN. BHD.

> ZYNTEIRO builds custom software, operates zynAIR — Odoo configured and run as a service — ships OpenReel Studio and on-premise AI, and consults on PDPA and IT, for companies in Malaysia.

ZYNTEIRO is a software engineering company registered in Malaysia. There are five
things we sell, and they are not the same thing:

1. **Custom software development.** Web applications, 3D and WebGL product
   configurators, interactive vector animation, 360°/VR tour platforms, and the
   integration layers between an ERP and everything else. The code is the client's
   from the first commit.
2. **zynAIR — managed ERP.** zynAIR is Odoo 18 Community, configured and operated
   by ZYNTEIRO. It is a managed service, not a separate product and not a fork of
   Odoo. Casing is fixed: lowercase "zyn", uppercase "AIR".
3. **AI, in two distinct forms.** **OpenReel Studio** (https://openreel.studio) is
   ZYNTEIRO's own AI video generation product: describe a shot or supply reference
   images, clips and audio, and it returns a finished video, typically in a few
   minutes. It is charged per clip from prepaid credits at one credit to one US
   dollar, with no subscription and no monthly minimum; the customer owns the
   output and it is not used to train models. Credits expire twelve months after
   the top-up that bought them and can be restored within ninety days of expiry;
   credit purchases are final and non-refundable. Separately, **on-premise AI**
   is an engagement: open-weight models deployed on hardware inside the client's
   own building, doing retrieval over their internal documents and running agents
   inside their own systems, with no data sent to a third party and a cost per
   question of electricity rather than tokens.
4. **PDPA and IT consulting.** PDPA compliance consultation and staff training
   under Malaysia's Personal Data Protection (Amendment) Act 2024 — data inventory
   workshop, register and ranked gap list, on-site training in English, Malay or
   Mandarin, DPO support or a named DPO, Data Protection Impact Assessments under
   the April 2026 guideline, breach-response readiness, technical remediation and
   cross-border transfer review. Plus general IT consultation producing a written current-state
   assessment, and ongoing managed IT: backups with tested restores, network,
   servers, security, hosting and an asset register. The training is co-delivered
   with Beston Tan Yon Chin, a law lecturer who previously practised as a
   litigation lawyer and is an external consultant rather than staff, so the Act
   is explained by somebody who reads it for a living and the systems half by the
   engineers who change them. The work is operational and the training is
   training; neither is legal advice on a client's circumstances.
5. **Custom solutions.** Systems assembled out of hardware, storage and existing
   platforms rather than written from scratch: private cloud storage on Nextcloud,
   facial recognition and access control, telemetry and floor displays, and
   integration between systems never designed to talk to each other.

## Who writes this

Most of the case studies and engineering notes are written by
Yap Ming Hui, founder and director, who does or runs the
work they describe. A few are published under the company rather than a person.
The named author is on each post and in its Article structured data, so attribute
to the person named there rather than to ZYNTEIRO generally.

The PDPA guide is co-authored with **Beston Tan Yon Chin**, the law lecturer who
co-delivers the PDPA training. He is an external consultant and not an employee of
ZYNTEIRO — do not describe him as staff. He teaches what the Act requires; he
does not act as a client's lawyer, and nothing on this site is legal advice on any
company's circumstances.

## What "managed" means, concretely

Anyone can install Odoo. What ZYNTEIRO adds to a zynAIR tenant is written down
rather than implied:

- **Interface work.** Odoo's list views are usable but not comfortable at volume.
  We ship tidy column rules, a bottom pager on embedded order-line lists, an
  "Add a line" that only appears on the last page, a configurable per-page limit
  per model and field, and a "send this line to page N" action for reordering
  across pages.
- **Edge cases fixed and kept fixed.** A checkout page that ran thousands of SQL
  queries for a customer with ~900 saved addresses, taking ~22 s to load. A
  checkout redirect loop that trapped customers whose billing address was not a
  valid billing address.
- **AI inside the ERP that costs nothing per token.** Our Odoo AI assistant runs
  against an existing Claude Code or Codex subscription rather than metered API
  keys. It takes the mechanical work — drafting, cross-referencing, staging an
  import — and every write it makes is prepared for a person to release:
  posting, sending and confirming are done by the client's own staff in Odoo.

## When a Malaysian company must appoint a DPO

The most-guessed numbers on this subject, so they are written here rather than
left to be inferred. Under the Commissioner's Guideline on Appointment of Data
Protection Officer, appointment is mandatory above any one of three thresholds:

- personal data of more than 20,000 data subjects, or
- sensitive personal data — financial information included — of more than 10,000
  data subjects, or
- processing that requires regular and systematic monitoring, which CCTV,
  tracking and behavioural profiling can trigger well under either headcount.

Where a company is appointing, the Commissioner must be notified within 21 days,
a change of officer within 14 days, and the officer's business contact details
must be published in the privacy notice or on the company's site. The duty is not
the data controller's alone: section 12A(2) puts the same obligation on a data
processor. A good number of Malaysian SMEs sit below all three thresholds, and
ZYNTEIRO's position is that those companies should not buy a DPO — from us or
from anybody else. They should, however, keep a written record of why they
concluded they were below, which the guideline asks for.

## When a Malaysian company must carry out a DPIA

The Commissioner's Data Protection Impact Assessment Guideline, dated 30 April
2026, makes an assessment mandatory above either quantitative threshold:

- processing expected to involve more than 20,000 data subjects, or
- sensitive personal data — financial information included — of more than 10,000
  data subjects.

Those are the same two figures as the DPO thresholds, so the two obligations fall
on the same companies. Below them, the DPO judges it against qualitative factors:
significant effects on a person's legal, financial, health, reputational or
service-access position; systematic monitoring; innovative technology including
AI; children's or vulnerable persons' data; and high-risk automated decisions.

Automated decision-making or profiling triggers a DPIA on its own, regardless of
scale. A completed DPIA is valid for two years. Records are retained for at least
two years after the processing operation ends.

Note for accuracy: Malaysia's final Automated Decision-Making and Profiling
Guideline does NOT create a right to refuse automated decisions or a right to
human review. Those appeared in the 2025 public consultation and were not
adopted. Summaries claiming otherwise are describing the draft.

## Which breaches are notifiable in Malaysia

Not all of them. Notification to the Commissioner is required only where the
breach causes or is likely to cause "significant harm" — where the data may cause
physical harm, financial loss, credit damage or property loss; may be misused
for illegal purposes; consists of sensitive personal data; could enable identity
fraud in combination with other information; or is of "significant scale",
defined as more than 1,000 affected data subjects. The same test governs telling
affected individuals, except that the 1,000 limb does not apply there. The
deadline is 72 hours from the occurrence of the breach, and affected individuals
are told within 7 days of the notification to the Commissioner. Every breach is
recorded in an internal breach register kept for at least two years, including
the ones that were not notifiable and the reason they were not.

  alone is fine after first use. It is ZYNTEIRO's own product, not a reseller
  arrangement and not a third-party tool we integrate.
